1. Information We Collect
When you order a document from GroundWork Oregon, we collect the following types of information:
From you directly (via intake forms and email):
- Contact information: name, email, phone, title
- Business information: company name, address, entity type, license numbers
- Workforce details: size, composition, union status, pay practices
- Specific compliance needs and customization preferences
- Payment information (processed by Stripe; we do not store payment card details)
Automatically:
- Website analytics: pages visited, time on site, referrer (via standard web analytics)
- IP address and browser information
2. How We Use Information
We use your information to:
- Prepare your customized documents
- Communicate with you about your order (confirmations, previews, revisions, delivery)
- Process payments and deliver final files
- Respond to support requests and questions
- Improve our services and documents based on common customer needs
- Comply with legal obligations
3. Information Sharing
We do not sell, rent, or trade your personal information. We share information only with:
- Service providers (Stripe for payment processing, Google Workspace for email and forms, SendGrid for email delivery) — bound by their own privacy policies and limited to the purposes of delivering our service
- Legal compliance — if required by court order, subpoena, or applicable law
- Business transfers — in the event of sale, merger, or acquisition of GroundWork Oregon or Pacific Build Compliance, your information would be transferred to the successor entity under the same privacy terms
4. Data Retention
We retain order records, including intake form data and delivered documents, for 7 years for business and tax purposes. Email correspondence is retained for 3 years. Website analytics data is retained for 26 months per Google Analytics defaults.
You may request deletion of your records at any time (see Your Rights below), subject to our legal obligation to retain records of sales.
5. Security
We use industry-standard security measures including SSL encryption for all site traffic, secured cloud storage for customer files, and limited-access credentials for team members handling orders. No system is perfectly secure, and we cannot guarantee absolute security of information transmitted over the internet.
6. Your Rights
You have the right to:
- Access the personal information we hold about you
- Correct inaccuracies in your information
- Request deletion of your information (subject to legal retention requirements)
- Opt out of marketing communications (click "unsubscribe" in any email, or email us)
- Receive a copy of your information in machine-readable format

7. California Privacy Rights (CCPA/CPRA)
California residents have additional rights under the California Consumer Privacy Act and California Privacy Rights Act, including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of any "sale" of personal information. We do not sell personal information. To exercise California privacy rights, email us as described above.
8. Cookies
Our site uses minimal cookies. We do not use advertising or tracking cookies. We use analytics cookies to understand site performance. You can disable cookies in your browser settings without affecting site functionality.

Our services are intended for business customers. We do not knowingly collect information from anyone under 18.
